Abstracts/Papers: Instructions for Authors

Due to the very large number of abstracts submitted, the Abstract acceptance/rejection has been extended by a few days to Wednesday, February 26, 2025.

DUE DATE: Technical papers are due Friday, March 28, 2025. Extended: Tuesday, April 10, 2025.

REQUIREMENTS:

For papers to be included in the OCEANS 2025 Brest technical program and presented at the conference, the following requirements must be met:

  • The length of the technical paper must be between 4 and 10 pages, including figures and references. Do not include blank pages at the end to achieve the minimum length.
  • To assist you in the preparation of your paper, style templates for using Microsoft (MS) Word and LaTeX software can be downloaded directly from the IEEE website.
    • Please note the MS Word templates are designed for recent versions of MS software. If you receive an alert when opening an MS Word template stating the template was created by a newer version of MS Word, then follow the prompts to download and install the MS Word converter. Failure to do so may result in an inability to save your manuscript.
  • Please remove the copyright string from the template footer before submitting your paper. The conference technical committee will insert the correct footer information prior to submitting your paper for publication.
  • PDFs must be created using IEEE PDF eXpress. Only PDFs created using IEEE PDF eXpress will be accepted.
  • Prior to uploading your paper, you must first (i) complete the online copyright with IEEE and (ii) register for the conference. Both actions should be initiated through the author dashboard.

COPYRIGHT

Inclusion of your paper in the Technical Program and Conference Proceedings requires assignment of copyright to the sponsoring Society. Accepted papers will be submitted for inclusion into IEEE Xplore subject to meeting IEEE Xplore’s scope and quality requirements. The copyright process is conducted online prior to uploading your paper. Authors must access their author dashboards to initiate the copyright process.

REGISTRATION

Please take note of the following information regarding registration:

  • All paper registrations must be paid at the full conference rate. We cannot offer student discounts for paper registrations.
  • Registration of your paper also registers you as a full delegate of the conference. A single paper registration fee can be applied to up to three papers on which you are a co-author. To include additional papers, simply enter the additional abstract numbers in the provided fields during the paper registration process. The registering author for any paper registration must be a listed co-author on the paper being registered.

HOW TO CREATE AN IEEE PDF eXpress PDF FILE

Please follow the below instructions for creating an IEEE Xplore®-compatible PDF file of your paper.

  1. Save your paper using your template of choice (MS Word; LaTeX), adhering to the requirements described above.
  2. Log in to IEEE PDF eXpress(https://ieee-pdf-express.org/).
    • The IEEE PDF eXpress conference ID is 58557X.
    • Please note that your author dashboard login will not gain you access to the IEEE PDF eXpress site.  You will need to maintain a separate login account for IEEE PDF eXpress.
  3. For each conference paper, click “Create New Title.”
  4. Enter identifying text for each paper.
  5. Click “Submit Source Files for Conversion.”
    • Indicate and source file type (if applicable)
  6. Click Browse, then navigate to your file and click “Upload File.”
  7. You will receive both an online confirmation and an email confirmation for a successful upload.
  8. You will also receive an email with your IEEE PDF eXpress-converted PDF included as an attached file, usually within a day. The PDF file returned from the IEEE PDF eXpress site is the PDF file that you will upload to your OCEANS 2025 Brest Author Dashboard. Please save this PDF file to your computer where you have access to it and can upload it to your author dashboard.

UPLOAD YOUR PAPER(S): 

Upload your paper(s) using the IEEE Xplore®-compatible PDF file(s) returned to you by email. After you upload your paper(s), you can verify receipt of your paper into the OCEANS system by downloading the paper(s) from your author dashboard.

Note that you will be required to enter keywords during the paper upload process in order to tag and describe your paper.

PUBLICATION

The conference proceedings published in conjunction with the conference may contain your paper(s). However, please note that the conference proceedings are not the official publication and cannot be cited in other literature. Papers will be published through IEEE Xplore about two months after the conclusion of the conference.

Please note that all technical papers and posters must be presented on-site in Brest during the conference program.  We will not offer a virtual component for remote presentations.  On-site presentations must be delivered by one of the listed co-authors on the paper.
